PIAA?

What is it? #

When we use technology, sometimes we have to give our personal information like our name or address, so that the technology can work properly. But we need to make sure our information is kept safe and used only for the right reasons. A PIAA is a way to check that our personal information is being treated carefully and kept safe. It’s like asking someone to promise to take good care of your special toy, and not to let anyone else play with it without your permission. Just like how you want your toy to be safe and protected, we also want our personal information to be safe and protected.

Writing a PIAA (Personal Information and Attributes Assessment) involves several steps: #

  1. Identify the personal information being collected: Start by identifying the personal information that is being collected, such as names, addresses, phone numbers, and email addresses. Be specific about what information is being collected and why it is needed.
  2. Identify the purpose for collecting the information: Explain why the information is being collected and how it will be used. For example, the information may be used to provide a service, to process a payment, or to improve a product.
  3. Identify who will have access to the information: Explain who will have access to the information and why they need it. For example, customer service representatives may need access to personal information to help customers with their orders.
  4. Describe how the information will be protected: Explain how the personal information will be protected and kept secure. This may include measures such as encryption, firewalls, or restricted access.
  5. Explain how individuals can exercise their rights: Explain how individuals can exercise their rights regarding their personal information, such as accessing, correcting, or deleting their information.
  6. Provide contact information: Provide contact information for individuals to get in touch if they have any questions or concerns about how their personal information is being handled.
  7. Review and update the PIAA regularly: It is important to review and update the PIAA regularly to ensure that it reflects any changes in how personal information is being handled.

Remember to use clear and simple language, and to organize the information in a way that is easy to read and understand. The goal of a PIAA is to help individuals understand how their personal information is being used and to ensure that their privacy is protected.

Here is an example of a PIAA to protect a company’s prototype: #

Personal Information and Attributes Assessment (PIAA) – Protecting the Company’s Prototype

  1. Personal Information Being Collected: The prototype is a confidential product that we have developed and we need to keep it secret from our competitors. We will be collecting personal information of our employees who will be working on this prototype, including their names, contact details, and identification documents.
  2. Purpose of Collecting Personal Information: The personal information will be used to ensure that only authorized employees have access to the prototype. We need to keep the prototype secure and confidential from unauthorized access and use.
  3. Access to Personal Information: Only authorized personnel will have access to the personal information of employees working on the prototype. The information will be kept confidential and only used for the purpose of securing the prototype.
  4. Protection of Personal Information: The personal information will be protected using appropriate physical, technical, and administrative safeguards to prevent unauthorized access, use, or disclosure.
  5. Individual Rights: Employees have the right to access their personal information, and to request correction or deletion of their personal information. Employees may contact the company’s privacy officer to make such requests.
  6. Contact Information: If an employee has any questions or concerns regarding the collection, use, or disclosure of their personal information, they may contact the company’s privacy officer.
  7. Regular Review and Update: The PIAA will be reviewed and updated on a regular basis to ensure that it continues to reflect the company’s practices for protecting the prototype and personal information of employees.

This PIAA ensures that personal information is being collected and used only for the purpose of securing the prototype, and that access to personal information is limited to authorized personnel only. It also provides a way for employees to exercise their rights regarding their personal information, and to contact the privacy officer with any concerns. By regularly reviewing and updating the PIAA, the company can ensure that it continues to provide adequate protection to both the prototype and personal information of employees.
